Job Description
- Welcome all clients, visitors, guests, and employees into the front office in a professional manner and maintain records related to Front Desk Operation.
- Receive all incoming calls and forward outgoing calls.
- Guest / visitor, messaging, and reminders for concerned officers.
- Receive letters, messages, documents time to time and handover those to the concerned persons.
- Ensure reception area is organized and prepared in perfect manner.
- Maintain Telephone directory of the organization.
- To be responsible for receiving letters, messages, documents, and dispatch them to concerned authority by keeping records.
- Monitor and update daily attendance and leave of the employees of head office and field force.
- Coordinate employee recruitment & selection process.
- Preparing different drafts, reports, statements, and minutes as directed by the supervisor.
- Maintain all types of employee separation procedures.
- Conduct orientation program to new employees.
- Assist in developing and implementing human resource plans, employee development plans, and organizational development plans and personnel management policies.
- Keep all the records and maintain necessary files for various activities systematically and always updated.

Educational Qualification
- HSC/ Bachelor degree in any discipline
Skills Required: Ability to Work Independently, Computer literacy, Administration

Procurement Planning and Supply chain management:
- Reinforce current procedures and the quality of ACTED internal control, based on international best practices, donor requirements and results of internal and external audits.
- Ensure information flow with other departments for effective service delivery thus securing the successful conclusion of the programs
- Accountable for overall compliance with the procurement procedures.
Stock Management:
- Management of the IN & OUT processes in the Mission storage resources.
- Responsible for overall compliance with the stock management procedures.
- Ensure Stock folder is in place with all related documents.
Delivery (Transport) Management:
- Overall delivery management for ACTED freight and passenger transport.
- Accountable for the overall compliance with delivery management procedures.
- Responsible for the maintenance and repairs of these resources.
- Accountable for the overall compliance with assets, property and premises management procedures.
- Ensure asset folders are in place with all details and related documents for proper accounting.
Computer security and maintenance:
- To ensure the computers are well maintained within the base.
Monthly Logistics Report:
- Facilitate the preparation of the monthly logistics report.

Educational Requirements
HSC/ Honors or equivalent.
