HOSPITALITY PARTNERSHIP
RESTAURANT PROJECTS DON'T ONLY NEED DESIGN AND EQUIPMENT.

They also need procurement.

A restaurant or hospitality project can involve sourcing:

🍽️ Kitchen equipment
🥄 Smallwares
🪑 Furniture
📦 Packaging
🥫 Food products
🧊 Refrigeration
🧹 Operational supplies
💡 Fixtures and other project requirements

These requirements can come from different suppliers, countries and markets.

For hospitality consultants, designers, project managers and restaurant specialists, procurement can become a significant part of the project.

That's where a procurement partner can complement your expertise.

GulfAfrica Procurement can support the supplier sourcing and commercial side while the hospitality specialist remains focused on their core project responsibilities.

Different expertise. One stronger project.

If you work with restaurants, hotels or hospitality projects and regularly encounter procurement requirements, let's connect.

🤝 There may be an opportunity to collaborate.

WHEN YOUR CURRENT SUPPLIER STOPS WORKING
WHEN YOUR CURRENT SUPPLIER STOPS WORKING FOR YOUR BUSINESS

Sometimes your supplier isn't necessarily bad.

Your business has changed.

Your volumes may have increased.

Your customers may expect faster delivery.

Your product range may have expanded.

Or the commercial terms that once worked may no longer make sense.

Before immediately replacing the supplier, ask:

What exactly isn't working?

Is it:

🔹 Price?
🔹 Quality?
🔹 Capacity?
🔹 Lead time?
🔹 Availability?
🔹 Communication?
🔹 Payment terms?

Once the problem is clear, the solution becomes easier to identify.

You may need to renegotiate.

You may need an additional supplier.

You may need to find an alternative sourcing market.

Good procurement isn't about replacing suppliers unnecessarily.

It's about making sure your supplier strategy continues to support your business.

PROCUREMENT DOESN'T START WITH A SUPPLIER

This is where we start bringing your actual experience into GulfAfrica's authority.

PROCUREMENT DOESN'T START WITH A SUPPLIER.

It starts with understanding the requirement.

In project and hospitality procurement, for example, you may be dealing with:

• BOQs
• Product specifications
• Quantities
• Quality requirements
• Project timelines
• Budget considerations
• Delivery requirements

Only after understanding those requirements does supplier sourcing really begin.

My experience working on restaurant projects and pre-openings reinforced an important lesson:

A supplier cannot give you the right solution if the requirement hasn't been properly understood first.

The question isn't simply:

“Who can supply this?”

It is:

“What exactly do we need, and which supplier can meet those requirements commercially and operationally?”

That's the mindset we bring to GulfAfrica Procurement.

Requirements first. Suppliers second.

YOUR CLIENT MAY ALREADY NEED A SUPPLIER 🤝
YOUR CLIENT MAY NEED A SUPPLIER.
YOU MAY ALREADY HAVE THE CLIENT.

Think about the businesses you already work with.

A restaurant.

A hotel.

A manufacturer.

A distributor.

A construction company.

An importer.

They may already ask questions like:

“Do you know where we can source this?”

“Can you help us find a supplier?”

“Do you know a reliable manufacturer?”

You may not provide procurement services — and that's perfectly fine.

You don't need to.

GulfAfrica Procurement can complement your existing service by supporting the sourcing side.

You continue focusing on what you do best.

We focus on procurement.

The client gets access to additional expertise without you having to build a procurement function yourself.

Good partnerships aren't about competing for the same work.

They're about filling gaps in the client's journey.

If your clients regularly purchase, source or import products, let's connect.

🤝 There may be an opportunity to work together.

IS YOUR SUPPLIER NETWORK READY FOR GROWTH?
YOUR BUSINESS IS GROWING. IS YOUR SUPPLIER NETWORK GROWING WITH IT?

Growth can change your procurement requirements.

The supplier that worked when you were buying 500 units may not necessarily be the supplier that works when you're buying 5,000.

As your business grows, you may need:

🔹 Greater production capacity
🔹 More competitive pricing
🔹 Consistent quality
🔹 Shorter or more reliable lead times
🔹 Additional product lines
🔹 Alternative sourcing options
🔹 Better commercial terms

Growth isn't only about finding more customers.

Your supply network needs to be able to support that growth.

Sometimes the answer is improving the relationship with an existing supplier.

Sometimes it's finding an additional supplier.

Sometimes it's exploring a new sourcing market.

The important question is:

Can your current supplier network support where your business is going next?

PROCUREMENT DOESN'T WORK IN ISOLATION 🤝
PROCUREMENT DOESN'T WORK IN ISOLATION.

A business sourcing internationally may need several specialists throughout the journey.

Supplier sourcing
↓
Negotiation
↓
Freight forwarding
↓
Customs clearance
↓
Transportation
↓
Warehousing / delivery

Different specialists can contribute different expertise.

For example:

GulfAfrica Procurement can support supplier identification, evaluation, quotation comparison and negotiation.

A logistics partner can handle transportation and delivery.

A business consultant may identify the client's requirement in the first place.

A hospitality consultant may be managing a restaurant or hotel project that needs multiple suppliers.

That's why we believe in complementary partnerships.

The goal isn't for one company to do everything.

It's to make sure the client can access the right expertise at the right stage.

If your business works with companies that regularly source, purchase or import products, there may be an opportunity for us to complement each other.

WHEN SHOULD A BUSINESS USE A SOURCING AGENT?

WHEN SHOULD A BUSINESS USE A SOURCING AGENT?

Not every business needs one.

But there are situations where professional sourcing support can make sense.

For example, when:

🔎 You need to find suppliers in a new market
🌍 You are sourcing from a country you don’t know well
🏭 You need help identifying and screening manufacturers
📋 You don’t have the resources to manage supplier research
🗣️ Communication or language barriers are creating challenges
📦 You need someone to coordinate multiple suppliers

The important question isn’t:

“Do I need a sourcing agent?”

It is:

“Will the value they provide justify their cost and reduce my sourcing risk?”

A good sourcing partner should bring more than a supplier’s contact details.

They should help you make better-informed purchasing decisions.

YOU KNOW WHAT YOU WANT TO BUY
YOU KNOW WHAT YOU WANT TO BUY. YOU JUST DON'T KNOW WHERE TO START.

You know the product.

You know the quantity.

You may even know the quality you need.

Then comes the difficult part:

Finding the right supplier.

A quick search can produce dozens — sometimes hundreds — of potential suppliers.

But a long list of suppliers doesn't tell you:

• Who can actually meet your specifications
• Who has the right production capability
• Whether the quotation is competitive
• Whether the MOQ works for your business
• Whether the lead time is realistic
• Whether the supplier is suitable for your requirements

And suddenly, sourcing one product becomes a project of its own.

This is where procurement support can add value.

At GulfAfrica Procurement, we help businesses move from:

“We need this.”

to:

“These are the sourcing options, these are the differences, and this is what we need to consider before making the purchase.”

If you know what you need but don't know where to start, let's talk.

HIDDEN COSTS BUYERS FORGET WHEN IMPORTING

5 HIDDEN COSTS BUYERS OFTEN FORGET WHEN IMPORTING

You negotiate a great product price.

Then the invoice starts growing.

Before calculating your real landed cost, don’t forget:

1️⃣ Freight costs
The supplier’s price may not include transportation.

2️⃣ Insurance
Depending on the shipment and terms, cargo insurance may need to be considered.

3️⃣ Customs duties & taxes
These can significantly affect the final cost.

4️⃣ Customs clearance & local charges
Clearing agents, port/terminal charges and documentation can add up.

5️⃣ Inland transportation & handling
Getting the goods from the port to your warehouse is still part of the cost.

The price you negotiate with the supplier is not necessarily the final cost of getting the product into your warehouse.

Always calculate the landed cost before deciding which supplier is truly cheaper.

WHAT EXACTLY DOES GULFAFRICA PROCUREMENT DO?

So, what exactly does GulfAfrica Procurement do?

A business may come to us with something as simple as:

“We need this product. We need a reliable supplier. Where do we start?”

From there, our role is to help turn that requirement into a structured procurement process.

That can involve:

🔹 Understanding the exact requirement
🔹 Identifying suitable suppliers
🔹 Researching and screening supplier options
🔹 Requesting and comparing quotations
🔹 Reviewing MOQ, lead times and commercial terms
🔹 Negotiating where appropriate
🔹 Supporting the purchasing decision
🔹 Coordinating supplier communication and follow-up

The value isn't simply in finding supplier names.

It's in helping a business understand its options before committing money.

We don't promise that every sourcing requirement will have a simple answer.

We start by understanding the requirement, assessing the sourcing challenge and determining where we can add value.

Procurement is our focus, so our clients can focus on theirs.
