Most coffee machine contracts are sold on the machine. The machine is the least important part.
Panica Coffee has supplied and serviced commercial superautomatic coffee machines across Melbourne since 2017. The businesses that end up unhappy almost never chose the wrong machine. They signed the wrong agreement.
Five questions worth asking before you sign anything.
1. What happens when it breaks? Not "is it covered". Who turns up, how fast, and does a callout cost extra. A machine down on Monday morning is a different problem to a machine down for a fortnight.
2. Is servicing included, or billed? Descaling, filter changes, milk system servicing. If those sit outside the agreement they arrive as surprise invoices, usually at the worst time.
3. What is the exit? Ask directly how you leave and what it costs. If the answer takes more than a sentence, read it twice.
4. Who owns the daily maintenance? Every machine needs a two minute clean. Know what your team is responsible for before it arrives, not after.
5. Does it scale? Offices grow and shrink. Ask what happens if you need a bigger machine in a year, or a second one.
None of this is about brand. A good machine on a bad agreement is still a bad deal.
