Fulfillment & Inventory Lead – Indianapolis, IN
The Aroma Labs is a growing fragrance experience brand where guests create custom scents that reflect their individuality. We blend creativity, connection, and quality across our retail locations, events, and partnerships. Our fulfillment team ensures that every product shipped to our stores meets the same high standards as the experiences we deliver in person.
We are looking for a Fulfillment & Inventory Lead to join our Indianapolis location. This person will oversee the master set of inventory for all Aroma Labs stores, manage vendor relationships, and ensure that every shipment leaves our facility looking perfect.
Responsibilities
• Maintain and manage the master inventory system through Square Inventory.
• Monitor stock levels across all stores and anticipate replenishment needs.
• Package, label, and ship all products to ensure items arrive safely and in perfect condition.
• Track best-selling items, trends, and inventory turnover to make proactive adjustments.
• Manage relationships with vendors and verify that product costs remain consistent and accurate.
• Collaborate with leadership and marketing to prepare for special initiatives, including seasonal campaigns, kit launches, and promotional bundles.
• Develop and follow fulfillment SOPs to maintain consistency and quality across all shipments.
• Coordinate with store leaders to ensure each location receives what they need on schedule.
• Prepare and share weekly shipping updates and reports with leadership.

Qualifications
• Experience in fulfillment, inventory management, or operations (preferred).
• Familiarity with Square or similar POS/inventory systems.
• Strong attention to detail and ability to multitask in a fast-paced environment.
• Excellent written and verbal communication skills.
• Ability to lift boxes up to 40 lbs and manage light warehouse organization.
Location
This position is based out of our Indianapolis location and supports all Aroma Labs stores.
Compensation
Competitive hourly rate or salary based on experience, with growth potential as the brand continues to expand nationally.
