There are two kinds of downtime. One you pick the day for. The other picks the day for you.

A service visit booked ahead of a busy stretch is the first kind. So is replacing a consumable before it runs out, and keeping a spare on the shelf.

The second kind arrives on its own schedule, and by then the only question left is how fast somebody can get to the machine.

Not every stop is a repair. Sometimes the machine is working exactly as designed and the job stops anyway, because something ran out.

Toner or ink, depending on what the machine takes. Staples. The consumable that fills up rather than empties. None of those are faults, and every one of them ends printing until somebody replaces a part.

Two questions worth answering while nothing is wrong. What does this machine consume, and who is watching the levels. If the answer to the second one is that nobody is, that is the thing to fix, not the machine.

If the machine scans to email or to a folder, somebody configured where it is allowed to send. That configuration outlives whoever set it up.

A saved destination stays saved until a person removes it. A login created so somebody could change a setting stays valid until a person disables it. Neither of those ends because the person did.

Worth adding to whatever the office already does when somebody leaves.

IT. The office manager. Whoever happened to set it up. Nobody, and that is a real answer.

Whoever it is, they are the person who would change an administrator login or check where the machine is allowed to send a scan.

A printed page is out in the room the moment it lands in the tray. It stays there until somebody collects it, and anyone walking past in between is a person who could read it.

Payroll, a signed contract, a patient form, a letter somebody would rather not have read early. All of them come out of the same slot as the meeting agenda.

Worth asking whoever services your machine whether it will hold a job until the person who sent it is standing at it. Where that exists, it is a setting rather than a purchase.
